The Challenges

Before implementing Info-Tech's HRMS software, Aerospec's outsourced employees had to submit hard copies of their leave forms by the 20th of each month to their Key Account Managers, who would then forward them to the Timesheet Officer for processing. The previous software lacked the capability for paperless applications, making the process manual and cumbersome. To reduce the Payroll Team’s workload, payday for outsourced employees was set for the 28th of each month.

Late submission of leave forms was a recurring issue, particularly for employees applying for Non-Pay-Leave to secure their full salary for the current month. In the worst cases, employees who went AWOL (Absent Without Leave) after collecting their salary left the company to absorb the costs, as there was no way to claw back the advanced payments from clients.

The Solution

Aerospec's implementation of Info-Tech's HRMS software in April 2024 has helped to address these challenges. Its mobile app enabled real-time, online leave applications, ensuring that employees who failed to submit valid leave applications (e.g., medical or annual leave) would not be paid. This closed the loophole, streamlined processes, and mitigated financial risks.

Additionally, the cloud-based system simplifies the management of claims, leave, and medical certificates, while team-specific payroll oversight has improved accountability and sped up error-free payslip distribution.
